JCSU Class Agents 1933-2007

Purpose

The Class Agent Program is an alumni-driven program designed to identify alumni leaders within each class and to utilize them as vehicles by which to increase class participation and class giving on an annual basis in support of Johnson C. Smith University.

Through this program, it is expected that class agents routinely correspond with their classmates and establish meaningful relationships in an effort to reconnect and to solicit financial support among alumni and friends of the University.

   The Washington, DC Alumni Chapter
honored Dr. Yancy at a banquet on Sept. 11
.

The Role of a Class Agent:

  1. Establish relationships with classmates and develop meaningful class identities.

  2. Enlist the support of your classmates in exceeding the fundraising goals and objectives of the University.

  3. Assist the University with increasing the total amount and percentage of alumni giving on an annual basis.

  4. Consider yourselves as ambassadors of the University spreading the word.

  5. Work with Institutional Advancement to identify classmates as prospects for Major Gifts and consider being part of the process.

  6. Work with the University to reinforce the new paradigm of alumni giving (i.e. shifting the focus from five year reunion giving to annual giving).

  7. Report any updated information pertaining to your classmates to the Office of Alumni Affairs (OAA).

Key points

  • The Class Agent Program focuses not only on classes in reunion but on each and every class. The OAA and Development have devised a more effective strategy that would combine face-to-face visits, phone calls and letter writing. We need to move away from a culture of solely writing letters and move to a combined effort.

  • The OAA and Development will work with class agents to develop a personalized strategy that includes a time frame, correspondence, assignments and financial goal(s); each reunion class should do their own campaign with a stated goal(s).

  • Development will "adopt a class" that has been assigned by the OAA as we all work together with the class agents to achieve financial goal(s).

  • Each reunion/non-reunion class representative will present his or her total class contributions to the President during the Annual Alumni Banquet that is held during Reunion Weekend.

  • All contributions including class gifts should be made payable to Johnson C. Smith University during the fiscal year July 1 - June 30.

Tips for Success

  • Personalize your appeal and use your creativity. Emphasize that all gifts matter, regardless of size. In order to continually increase the total amount and percentage of alumni giving on an annual basis, support is needed by all alumni.

  • Be clear as to why you are contacting your classmates. Be careful not to make "an ask" that would include the purchase of items (i.e. paraphernalia, trinkets, etc.), as this can be confusing.

  • Our goal is to move toward personal solicitation. We must not rely solely on letter writing. A phone call or a face-to-face visit is much more effective. Something to consider: Are you more apt to give to a letter or a person?

  • Upon drafting your letter, you should forward it directly to the OAA via email or mail for review of content and mailing. This is due to the postal increases. Please keep in mind that letter writing is a very expensive venture. Class Agents should limit their Letter Writing to two per fiscal year (Fall and Spring). Remember the OAA will also send written correspondence to your classmates within the same timeframe.
